MWG is recruiting for an Administrative Assistant who will be experienced in handling a range of administrative support related tasks and will be able to work independently. This person must be well organized, flexible and enjoy the administrative challenges of supporting a dynamic office of diverse people and programs.

 

The successful candidate will have the ability to interact with staff (at all levels) in a fast paced environment, under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. Excellent written and verbal communication skills, strong decision making ability, and attention to detail are crucial.

Responsibilities

  • Greet visitors, answer incoming calls and direct each accordingly.
  • Manage company calendars, internal website, and departmental expense reporting.
  • Plan and coordinate meetings and events for departmental and company-wide functions.
  • Provide logistical support for executive events.
  • Order office and kitchen supplies.
  • Manage special projects and assignments.

  • Prioritize multiple tasks in a fast paced environment in a positive manner with focused attention to detail.
  • Take on new challenges and learn assigned tasks readily.
  • Constantly maintain an exceptional level of absolute confidentiality.
  • Assist with administrative support as requested by the executive management team.

Qualifications

  • Four-year college degree and/or related administrative work experience.
  • Professional appearance and attitude.
  • Ability to be self-motivated, work well under pressure, and to work well under general supervision, with minimal instructions given for routine work.
  • Work requires excellent verbal and written communications, time management, and organizational skills.
  • Advanced proficiency with Outlook, Word, Excel, and PowerPoint. 
  • Working knowledge of standard office equipment such as printers, copiers and faxes.
  • Must have high level of interpersonal skills and independent judgment in a fast-paced environment and able to handle sensitive and confidential situations.
  • Position continually requires demonstrated poise, tact, and diplomacy.
